How to Create Custom Reports?

Report Builder lets you define the exact slice of training data your organization reports on — by learner, course, or learning path — and deliver it on a recurring schedule. It sits under Reports › Report Builder in Training Maker.
 

What Is Report Builder?

Report Builder is the custom reporting tool in Training Maker, found on the Custom Reports page under Reports. You start from a ready-made template or build from scratch, then move through four steps — Report InfoManage Filter & fieldsPreview Report, and Schedule Reports. Saved reports collect in the My Reports tab, where you can reopen, email, or switch them off.

 

Why Use It?

Standard reports answer standard questions. Report Builder exists for the reporting that is specific to how your organisation runs training.

  • The same numbers are requested on a fixed cadence. Define the report once and schedule it, so recurring compliance and management reporting no longer depends on someone remembering to export it.
  • The data you need sits across several default reports. Filters and columns let you assemble one table with the exact scope and fields your audience acts on, rather than reconciling exports afterwards.
  • Different audiences need different cuts of the same training data. Save a report per audience — by department, by course, by completion band — and each one keeps its own recipients and schedule.

 

Example Use Cases

 

  • A compliance officer schedules a weekly Compliance report of unstarted and overdue mandatory training, delivered to department heads ahead of an audit deadline.
  • A team manager runs a Courses report filtered to one department, comparing completion rate against quiz score to identify where training is finished but not understood.
  • An L&D specialist reviews average time spent per course against completion rate to find modules learners abandon and modules they click through too quickly.

 

Step-by-Step Instructions

Report Builder runs as a four-step wizard: Report InfoManage Filter & fieldsPreview Report, and Schedule Reports. Nothing is saved until the final step.

 

Step 1: Open Reports and select Report Builder to create the Custom Reports.

 

Step 2: Choose a category from TEMPLATE TYPE — FeaturedPerformanceEngagementComplianceEnrollment & Progress, or Insights.

 

 

Step 3: Select any template to inherit its filters and columns, or click Create from Scratch to configure everything yourself.

 

Step 4: Under Report Type, select LearnersCourses, or Learning Paths, enter a Report name under Report Details, then click Next.

 

 

Note: Report Type sets the unit of analysis — a row per learner, per course, or per learning path — and decides which filters appear next, so confirm it before continuing.

Step 5: Select the Course and Group / Department the report should cover.

 

Step 6: Click the bands you want under Completion rateQuiz score, and Average time spent per course.

 

 

Step 7: Set Last activity to the time window you want to report on.

 

Step 8: Select the fields you want in the report table under Columns, then click Next.

 

Step 9: Check the summary tiles and table rows under Preview.

 

Step 10: Click Export Excel if you need the full dataset as a spreadsheet now.

 

Step 11: Under Scheduling, then turn on Enable scheduling.

 

 

Note: Scheduling is optional — skip it and the report is still saved, ready to run on demand from My Reports.

Step 13: Set Repeats Every, pick the days under Repeats On, and choose when the schedule ends.

 

Step 14: Add each address under Recipients and press Enter or a comma after every one.

 

Step 15: Click Save Report & Open My Reports to reopen a report from the eye icon or pause its delivery with the Status toggle.

 

Pro Tips & Interactive Settings

 

Scheduling is optional: A report saves without a schedule and can be run on demand from My Reports. Schedule only the reports someone is waiting on, so recipients' inboxes stay meaningful.
Build a small library, not one large report: Because each saved report carries its own filters, recipients, and cadence, a set of narrow reports is easier to maintain than a single wide one that every audience has to filter for themselves.
Permissions: Report Builder sits under the Reports tab and is available to accounts with administrative reporting access. Learner accounts cannot create or schedule custom reports, though anyone you add under Recipients receives the emailed report.
