How to Access User Reports
In ProProfs Training Maker, user reports give a clear snapshot of each learner's journey, from enrollment to course completion.
Instead of guessing who needs help or where learning gaps exist, you can quickly monitor individual progress, performance trends, and pending assignments. This helps you proactively support learners, keep training timelines on track, and maintain accurate records for compliance or audits.
Here's how to access detailed user reports:
Step 1:
Go to Users from the dashboard and select the classroom whose user reports you want to view.
Step 2:
Click on Users again to see a list of all learners, including those who have taken and have not taken assigned courses.
Step 3:
Select the learner whose report you want to access.
On the right-hand side, click the Reports drop-down menu.
Step 4:
You'll find three report types:
-
Courses Pending: Shows the courses the learner has not yet started.
-
Courses Taken: Lists the courses the learner has completed.
-
Grade Book: Displays the learner's scores across quizzes and assessments.
Why User Reports Matter
-
Track progress individually: See how each learner is moving through their assigned content.
-
Support compliance and audits: Maintain records of training completion for HR, compliance, and external audits.
-
Identify knowledge gaps: Quickly spot who needs more support based on quiz and course performance.
-
Manage classroom performance easily: Filter users by course status without manual spreadsheets.
Best Practices for Using User Reports in ProProfs Training Maker
-
Set a weekly schedule to review pending courses: Regularly checking pending reports helps you catch learners falling behind early instead of at the deadline.
-
Use course pending and grade book views together: Cross-check pending enrollments with low grades to identify at-risk learners who may need extra help.
-
Document compliance-critical completions separately: For industries like healthcare or finance, export course completions and quiz scores regularly to meet audit needs.
-
Tag users with notes after 1:1 interventions: The 'Notes' field allows you to quickly record whether you gave a learner an extension, coaching session, or second attempt.
-
Monitor completion times to fine-tune course design: If users consistently take longer or shorter than expected, it's a sign you may need to adjust content complexity or pacing.
FAQs About Accessing User Reports
1. Can I download a user's complete learning history at once?
You can download reports course-by-course, but not a single "all courses combined" export for a learner. However, you can export multiple course reports separately.
2. What happens to a user's report if I delete their account?
Deleting a user permanently removes all their course and quiz history. Always export key records before deleting accounts for compliance or auditing.
3. Can I filter reports by groups instead of searching manually?
Yes, if your learners are organized into groups, you can filter reports group-wise to save time when tracking department-specific training.
4. What if a learner's course progress doesn't show up?
First, check if the learner was properly assigned to the course. If yes, ensure the user has accessed and started the course; only started courses generate progress tracking.
5. Is there a limit to how many user reports I can access at once?
There's no limit for accessing reports, but when downloading/exporting, extremely large datasets (thousands of users) may need to be broken into smaller downloads for faster processing.
