How to Enable Two-Factor Authentication

Adding an extra step during login helps protect your account from unauthorized access. Two-Factor Authentication (2FA) gives your ProProfs account an added layer of security by verifying your identity through a time-based code generated in an app like Google Authenticator.

Why This Matters

  • Adds a second layer of protection – Even if your password is compromised, no one can log in without the unique 2FA code.

  • Reduces risk of data breaches – It helps prevent unauthorized access to your training data and learner information.

  • Works with standard tools – ProProfs integrates with common 2FA apps like Google Authenticator, so you don’t need to install anything new.

When You Should Use It

If you're an admin or course creator handling sensitive data, enabling 2FA helps secure your account, especially when sharing login access isn’t an option, or you're using public networks.

Enter login credentials

Enter the unique code from the Google Authenticator app

Note: Two-Factor Authentication only applies to your individual user account, not to all users on the platform.

Best practices

  • Use a secure authenticator app like Google Authenticator or Authy instead of SMS-based codes, which are less secure.

  • Back up your recovery codes offline in a password manager or print them and store them safely—don’t rely on memory.

  • Limit 2FA setup to one trusted device unless you have a clear backup plan.

  • Avoid reusing QR codes if re-enabling 2FA; generate a fresh one to prevent syncing issues.

  • Recheck 2FA status after phone upgrades or resets, as authenticator data may not migrate automatically.

Frequently Asked Questions

Can I set up 2FA for another user in my team?
No. Two-factor authentication is activated individually. Each user must enable it from their own account settings.

What if I lose access to my authenticator app?
If you’ve lost the device where your authenticator app was installed, you won’t be able to log in. Since there’s no self-reset option for security reasons, contact ProProfs support with proof of identity. The support team will manually verify and disable 2FA so you can log back in and set it up again on a new device. To avoid this in the future, consider saving backup codes or enabling 2FA on a secondary device as a fallback.

Will 2FA work with third-party login tools like SSO?
2FA is handled separately from any SSO (Single Sign-On) provider you may be using. If your organization uses SSO (e.g., Google Workspace or Microsoft), check with your IT admin—your company may have its own 2FA policies at the SSO level. ProProfs 2FA applies only to direct logins using your ProProfs credentials.

Why is my code showing as invalid?
Authenticator apps generate time-based codes. If your phone’s clock is even slightly off, the code may be rejected. Go to your phone’s time settings and make sure automatic time sync is enabled. In Google Authenticator, you can also go to Settings > Time correction for codes to fix this issue manually. If you're still seeing errors, try removing and re-adding the ProProfs account in the app using a fresh QR code.

Can I turn off 2FA once it’s set up?
Yes, but it’s not recommended unless there’s a specific reason. You can disable it under My Account > Two-Factor Authentication.

Once 2FA is enabled, you’ll need to enter your verification code every time you log in.
